I. Scope and Purpose
The Office of Conferences and Events (C&E) will staff, in addition to the Coordinator and C&E Assistant, other help both throughout the academic year and during the summer conference season
II. Background
During the academic year, C&E will staff one student assistant to assist with general
office work and other activities. Summer staff will consist of two summer conference
staff and three summer student assistants who will help directly with summer camps
and conferences.
III. Detailed Procedures
C&E will abide by the following:
a. Staff will be hired according to Juniata College Human Resources Guidelines.
b. The academic student position will be posted with all other campus jobs. Applicants
will be interviewed and hired within the first few weeks of the semester if a position
is open. This student will complete general office assignments, prepare keys for Baker
Guest House, Patrick Lodge, and Raystown Field Station, as well as prepare signs,
make deliveries, and complete other tasks as assigned.
c. The Summer Conference Staff will act as a liaison between Summer Camp and
Conference guests and C&E. These staff will answer questions, assist in registration,
ensure proper keys and accommodations are prepared, conduct post conference room inventories,
and oversee summer student assistants, in addition to other tasks as assigned.
d. The Summer Student Assistants will work with the Summer Conference Staff to
provide for the Summer Camp and Conference guests as needed, including but not limited
to signage, keys, meal tickets and food service arrangements, ensuring room set-ups,
etc.
e. The summer staff and assistants will also be responsible for staffing the
pool for both Summer Camp and Conference guests as well as community open swim.
IV. Additional Information
Other procedures or adjustments may be made on a case-by-case basis to accommodate
unique requests. These modifications are made only with just cause and are subject
to the approval of the Coordinator of C&E.
